Our Wedding Terms Of Service.
HOWE HILL FLOWERS
Wedding Floral Design | Terms & Conditions
As of and from 30 October 2026
These terms set out the agreement between Howe Hill Flowers and the client(s) named in the booking confirmation. Please read them alongside your booking summary, proposal and any written variations. Nothing in these terms limits rights that cannot lawfully be excluded.
1. Parties and contract documents
“We”, “us” and “our” mean HOWE HILL FLOWERS LIMITED trading as Howe Hill Flowers, Ballydownis, Kilbrittain, Bandon, Co.Cork. Ireland; email hello@howehillflowers.ie . “You” means the client(s) identified in the booking confirmation. If two people sign, their respective contractual responsibilities must be stated in the booking confirmation.
The agreement consists of the accepted booking summary, these terms (identified by version/date), the accepted quotation or proposal and any later written variations. A specific, mutually agreed term in a booking summary or variation takes precedence over a conflicting general term.
2. Services and minimum expenditure
Full-Service Wedding Flowers: bespoke floral design and the expressly agreed planning, delivery, installation and other services. The standard minimum order value is €3,000 including applicable design/service charges but excluding delivery and separately agreed additional charges. A higher minimum may apply to distant or complex weddings and must be confirmed before booking.
Local Delivery & Set-Up: qualifying orders from €1,500 to €2,999 at venues approximately 30 minutes or less from the studio, subject to availability, with a standard €150 delivery and set-up charge. Eligible work includes personal flowers, altar arrangements, pew ends, aisle meadows, gift/presentation bouquets, cake and sign florals, bar arrangements and escort-table arrangements. Reception centrepieces and installations are excluded.
Studio Collection: qualifying orders under €1,500, collected by prior arrangement. Eligible work may include personal flowers, altar arrangements, pew ends and aisle meadows. Delivery, installation and transfer are not included.
Only services and items expressly identified in your booking documents are included. Minimum expenditure is the agreed value for a wedding that proceeds as contracted, not an automatic charge on cancellation.
Sunday weddings and weekend services: Howe Hill Flowers does not ordinarily provide wedding flower deliveries, installations or on-site set-up services on Sundays.
For Sunday weddings, flowers may be collected from our studio on the preceding Saturday by prior arrangement. Alternatively, Saturday delivery may be available, subject to location, availability, an agreed delivery charge and confirmation that the venue can provide suitable refrigerated storage overnight.
Sunday delivery and installation may be considered exceptionally for weddings with a floral order value exceeding €4,000. Such arrangements are entirely at the discretion of Howe Hill Flowers, subject to availability, and must be expressly agreed in writing before booking confirmation. Any additional Sunday staffing and service charges will be confirmed in advance.
No Sunday delivery or installation service is guaranteed unless expressly included in the accepted booking agreement.
3. Enquiries, estimates and availability
An enquiry, brochure, online planning-tool result or initial discussion does not reserve a date or constitute a binding quote. Tool-generated prices are estimates only. Availability remains subject to written acceptance of a booking by us.
4. Booking, €200 deposit and agreed booking value
To request a booking you must submit the required details, actively accept the applicable terms and pay a €200 deposit. The deposit is credited in full against the final wedding invoice; it is not an additional fee. A booking is confirmed only when we accept it in writing. If we decline a booking, we refund the payment received.
Before confirmation, your booking summary will state the wedding date, ceremony/reception locations, service tier, agreed minimum expenditure (including any higher distance-specific minimum), initial estimated budget and anticipated scope, and separately payable or calculable travel, staffing, installation, transfer and other charges. It will also state the payment timetable.
Accepting a booking reserves substantial studio and staffing capacity. A Full-Service wedding may involve approximately three to five days of physical work around the wedding date plus planning, sourcing and preparation over preceding months. We may decline competing bookings as a result.
The agreed minimum applies if the wedding proceeds and we remain ready and able to provide the contracted services, even if you later request a reduced scope, subject always to applicable law. It is not an automatic cancellation penalty. The €200 deposit is credited against any lawful cancellation compensation; it is never charged twice.
5. Planning, final fixed quotation and variations
We will ordinarily provide a detailed final fixed quotation approximately two months before the wedding, after agreeing the design brief and quantities. It will identify floral items, quantities, design/service charges, delivery, travel, labour, installations, transfers, hired items and any other charges.
Once you accept the final quotation in writing, the price is fixed for the stated scope. We will not unilaterally increase an agreed fixed price because wholesale prices or fuel costs change. Changes you request, or alternative work proposed by us, require your written agreement on scope and price before becoming payable.
Please request amendments in writing. We ask for final decisions at least 28 days before the wedding. Later changes are subject to availability and commitments already made. Any reduction in scope will be handled consistently with the agreed minimum and your legal rights.
6. Payments
The €200 deposit is payable at booking and deducted from the final invoice. We ordinarily issue the final invoice approximately one month before the wedding; the remaining balance is due 14 days before the wedding unless your booking confirmation states otherwise.
We will notify you of overdue payments and allow a reasonable opportunity to resolve them. Any suspension or termination for non-payment will be proportionate, communicated in writing and subject to applicable law. Any extra work must be agreed before invoicing. Prices shown to consumers must include applicable VAT and disclose additional charges.
7. Client cancellation and cancellation compensation
Please cancel in writing as early as possible. Cancellation can cause losses from design/planning work, non-recoverable purchases and supplier commitments, reserved labour/studio capacity and missed alternative bookings. Compensation is intended to reflect reasonably foreseeable net loss, not punish cancellation or secure payment for services not provided.
For cancellations not covered by a statutory withdrawal right or other statutory remedy, the following are proposed maximum ceilings, not automatic fees: more than 6 months before the wedding — up to €200; from 3 to 6 months — up to 25% of the agreed booking value; from 1 to less than 3 months — up to 50%; from 14 days to less than 1 month — up to 75%; fewer than 14 days — up to 90%. For clarity, “month” means a calendar month measured back from the wedding date.
The amount actually claimed will be reasonable and supportable, taking account of work completed, unavoidable expenditure, reasonably evidenced lost net contribution from reserved capacity, costs saved, and reasonable mitigation (including replacement bookings where feasible). We will explain the calculation on request. Any sums already paid, including the €200 deposit, are credited against the amount properly due; overpayments will be refunded. We will not recover the same loss twice.
8. Statutory withdrawal and consumer rights
Online, telephone and other distance/off-premises bookings may attract statutory information and cancellation obligations. The application of any exemption for personalised goods or services connected with a specific event must be assessed for the actual contract. We will supply any legally required pre-contract information, withdrawal instructions and cancellation form where applicable.
If you request performance during a statutory withdrawal period, we will obtain any consent and acknowledgement required by law and explain any lawful payment consequences. Nothing in this agreement removes statutory rights to cancel, terminate, obtain a refund, price reduction or other remedy.
9. Postponement or change of date
Please tell us promptly in writing if your date changes. A replacement date is subject to availability and is not secured until confirmed in writing. We will discuss any changed scope, supplier pricing, travel or staffing requirements and obtain agreement before transferring the booking.
If we cannot accommodate the new date, we will assess the original booking under the applicable cancellation rules and law, taking account of the reason for postponement, work completed, costs saved and mitigation. We do not guarantee the same varieties, suppliers or prices for a new date.
10. Floral design and substitutions
Flowers are seasonal and perishable. Exact varieties, shades, stem shapes and replication of inspiration photographs cannot be guaranteed. Where a variety is unavailable or below suitable quality, we may make a minor, comparable substitution consistent with the agreed palette, style and overall value. We will seek agreement before any material design change or reduction in value.
Please identify any essential flowers, colours, allergens or sourcing requirements in writing before booking. We will confirm whether these can be guaranteed.
11. Other suppliers and exclusivity
For Full-Service weddings, we act as principal floral designer for the scope we are contracted to deliver. Please disclose venue-provided, DIY or other florist arrangements that could affect our design, installation, timing or responsibilities. Any exclusivity requirement must be specifically agreed in your booking summary and reasonably limited to the contracted work. We are not responsible for goods or services supplied by third parties.
12. Venue access, restrictions and installation
You must arrange the permissions and access necessary for the agreed work and inform us of venue restrictions (including church services, permitted times, candles, water, adhesives, hanging work, loading, parking and collection). We will communicate practical access requirements in advance.
If access is unexpectedly restricted or delayed, we will take reasonable steps to deliver the agreed result safely. We will discuss alternative arrangements and any additional chargeable work before it is incurred where practicable. Responsibility and remedies where work cannot be completed depend on the circumstances and applicable law.
13. Ceremony-to-reception transfers
Transfer, dismantling and restyling are included only if specifically quoted and agreed. These services may require extra staff, vehicles, waiting time and access at both venues. We will identify which designs can safely be moved. Timing depends on ceremony duration, travel, traffic, weather, access and venue readiness.
Unless expressly agreed after reviewing timings and access, we do not guarantee that transferred flowers will be installed before reception guests arrive. If transfer becomes unsafe or impracticable, we will promptly discuss reasonable alternatives and fairly assess any adjustment for services not supplied, work completed and costs reasonably incurred, subject to your legal rights.
14. Severe weather and events outside reasonable control
Ice, snow, flooding, severe storms, road closures, emergency restrictions and other exceptional events can affect delivery or installation. We will take reasonable precautions, monitor relevant conditions when appropriate, and notify you promptly of material disruption.
We will not require staff or contractors to travel or work where there is an objectively reasonable and serious safety risk. Where practicable, we will discuss safe alternatives such as changed timings, alternative delivery points, reduced installation or rescheduling.
This clause does not automatically entitle us to retain the full price for services not supplied, or exclude liability where we have failed to exercise reasonable care and skill. Payment, refunds and remedies will depend on the services provided, circumstances, reasonable costs and applicable law.
15. Staffing and additional logistics
Staffing and transport will be based on the agreed scope and location. Additional assistants, overtime, accommodation, vehicles or unplanned trips will be charged only where quoted or subsequently agreed in writing.
16. Hired vases, plinths and equipment
Unless expressly sold, vases, urns, plinths, stands and other reusable equipment remain our property. You must take reasonable care of items entrusted to you and assist with agreed collection arrangements. Where loss or damage is caused by a failure to take reasonable care by you or persons for whom you are legally responsible, we may seek a reasonable repair or replacement cost, reflecting age and condition. Fair wear and tear and damage caused by us are excluded. We will explain any charge.
17. Ownership, care and collection of flowers
Flowers supplied to you become yours in accordance with the contract, excluding hired equipment. Fresh flowers can deteriorate through heat, wind, cold, inadequate water or handling. We will provide reasonable care instructions where appropriate. Collection or disposal of remaining flowers and retrieval of hired vessels will follow the arrangements agreed in writing.
18. Photographs and personal information
We may photograph our floral work for internal records, subject to venue rules and privacy law. We will seek any legally required separate permission before using identifiable images of clients or guests in marketing. Photographer copyright and third-party permissions remain applicable.
We process personal data to handle enquiries, contracts, payments and event arrangements as explained in our Privacy Policy: www.howehillflowers.ie/privacy-policy. The privacy notice should accurately describe retention, processors and data-subject rights.
19. Complaints and statutory remedies
Please contact us as soon as reasonably possible if you have a concern so we can investigate and, where practicable, resolve it. Photos and details may help with perishable flowers. We will respond within a reasonable period. This request does not impose a deadline that removes your statutory rights.
20. Liability
We will provide our services with reasonable care and skill and comply with applicable law. We are not responsible for deterioration caused solely by mishandling, unsuitable storage or other circumstances outside our control after proper supply, where we have met our obligations.
Nothing excludes or restricts liability for death or personal injury where exclusion is unlawful, fraud, failure to comply with mandatory consumer law, or any other liability or remedy that cannot legally be limited.
21. Governing law and disputes
Irish law governs this agreement, subject to any mandatory consumer protections applicable to you. Nothing restricts your right to bring a claim before a court or other competent body with lawful jurisdiction. We encourage early discussion of any dispute but do not require you to give up legal remedies.
22. Acceptance and record of terms
Before payment, our Squarespace booking form requires an affirmative, unticked-by-default checkbox acknowledging the applicable terms. We will retain evidence of the version accepted, date/time, booking details and deposit payment and provide a durable copy with written booking confirmation. Material changes require written agreement.
Your booking summary should identify: client names; date; ceremony and reception venues; service tier; initial scope and budget; agreed minimum; separately payable/logistically variable charges; €200 deposit; payment timetable; and this terms version.
